Data Protection Officer

The University keeps personal data for as long as it is needed for the purpose for which it was originally collected. Most of these time periods are set out in the University Records Retention Schedule.
Your rights in relation to your personal data
Privacy notices and/or consent
You have the right to be provided with information about how and why we process your personal data. Where you have the choice to determine how your personal data will be used, we will ask you for consent. Where you do not have a choice (for example, where we have a legal obligation to process the personal data), we will provide you with a privacy notice. A privacy notice is a verbal or written statement that explains how we use personal data.
Whenever you give your consent for the processing of your personal data, you receive the right to withdraw that consent at any time. Where withdrawal of consent will have an impact on the services we are able to provide, this will be explained to you, so that you can determine whether it is the right decision for you.
Accessing your personal data
You have the right to be told whether we are processing your personal data and, if so, to be given a copy of it. This is known as the right of subject access. You can find out more about this right on the University’s Subject Access Requests webpage.
Right to rectification
If you believe that personal data we hold about you is inaccurate, please contact us and we will investigate. You can also request that we complete any incomplete data.
Once we have determined what we are going to do, we will contact you to let you know.
Right to erasure
You can ask us to erase your personal data in any of the following circumstances:
- We no longer need the personal data for the purpose it was originally collected
- You withdraw your consent and there is no other legal basis for the processing
- You object to the processing and there are no overriding legitimate grounds for the processing
- The personal data have been unlawfully processed
- The personal data have to be erased for compliance with a legal obligation
- The personal data have been collected in relation to the offer of information society services (information society services are online services such as banking or social media sites).
Once we have determined whether we will erase the personal data, we will contact you to let you know.
Right to restriction of processing
You can ask us to restrict the processing of your personal data in the following circumstances:
- You believe that the data is inaccurate and you want us to restrict processing until we determine whether it is indeed inaccurate
- The processing is unlawful and you want us to restrict processing rather than erase it
- We no longer need the data for the purpose we originally collected it but you need it in order to establish, exercise or defend a legal claim and
- You have objected to the processing and you want us to restrict processing until we determine whether our legitimate interests in processing the data override your objection.
Once we have determined how we propose to restrict processing of the data, we will contact you to discuss and, where possible, agree this with you.
Making a complaint
If you are unsatisfied with the way in which we process your personal data, we ask that you let us know so that we can try and put things right. At Durham Student Theatre, we look after your details carefully. We adhere strictly to the requirements of the UK Data Protection Act 1998.
Information we collect
Name, address, email, telephone number, payment details (only if you sign up online), and service details. These will be collected and sorted securely on our network of members although you will be required to register your details at every DST production at an interview or audition;
Information collected using cookies stored on your device(s) about your use of our online services and third party online services;
Photographs taken during DST productions and through DST productions marketing may be stored and accessed on the Durham University mage Management system for future marketing for our society;
Other data, from time to time, to help us provide you with improved products and services, for example now and again we might ask you to fill in a questionnaire, just so you can let us know how we’re doing.
Using your information
Collecting this information helps us better understand what you need from us. It allows us to:
To provide you with service information and updates;
To contact you with the results of your audition / interview
Allow for discounted tickets for DST members;
To provide access to privileged areas of our online services;
enable us to review, develop and improve our society by monitoring trends;
To occasionally carry out market research;
When you buy Durham Student Theatre membership, audition for a DST production or be in any way a part of our society you agree to the Experience Durham Privacy notice, Durham University Code of Conduct, Savoy systems Terms and Condition.
Disclosing your information
Here’s when we may provide information about you:
To senior management of Experience Durham to be able to contact you for University related issues;
To Durham Alumni Relations Office to note that you are a Alumni of DST;
With you our third party Savoy System, who encrypts and safely stores your information on our behalf;
To University Marketing and Communications to share your achievements and photographs in theatre with the wider university and regional community;
We may use aggregate information and statistics for the purposes of monitoring usage of our services in order to help us develop our services, and may provide such aggregate information to third parties, for example, content partners and advertisers. These statistics do not include information that can be used to identify any individual.
We will not pass on your personal information to third parties except in accordance with this policy and our Terms and Conditions or where we are required to disclose that information in order to comply with any legal or regulatory requirements.
Protecting your information
Any information sent to us is protected using robust security methods. The methods we use are industry-standard ensuring data is safeguarded whilst being sent over unprotected communications paths such as the internet. When it reaches us, we store it securely and only provide access to it by those authorized.
We will never ask you for your identification, authentication passwords or PIN numbers directly associated with your Durham University Account in any unsolicited phone calls or unsolicited emails. In accordance with our Terms and Conditions, you are responsible for keeping your password and username secure and we very strongly recommend you do not disclose them to anyone (unless you wish to authorise them to access your account and potentially incur charges on your account).
Marketing our products and services
We will automatically contact you with regard to our services as a society, for example, the DST weekly email which contains all information about upcoming events and opportunities
We may also contact you with information about What’s on in the Assembly Rooms Theatre and special offers and rewards from theatre’s around the region.
You can opt out of these at any tome buy hitting unsubscribe at the end of every email.
